FAQs for Staff

What is Loop and how will it benefit me?

Loop is the exciting new roster and communications app that has launched in NHS Lothian. This app will replace the current EOL/Me App for those implemented on eRostering and Staff Bank workers.

Loop will provide the same functionality that our current users have in relation to viewing their substantive and/or bank shifts, requesting annual leave, days off and other requests directly. Loop will also provide additional communication functionality whereby staff will be able to receive board wide updates on their news feed, contact colleagues via private or group messaging and instant messaging functionality.

How do I access Loop?

Loop is available by downloading the Loop Application (App) onto a mobile or tablet. Or, if a user does not have access to a mobile device or tablet, an online version of Loop (Loop Online) will also be made available. You can access Loop Online from a desktop computer or laptop, either at home or in work, following this link: https://web.loop.allocate-cloud.co.uk/loop

Loop Core Communication and Rostering Tool and Loop Engagement Tool should not be confused with Microsoft Loop which is an online collaboration platform developed by Microsoft: https://www.microsoft.com/en-us/microsoft-loop

Is Loop different from EOL?

Yes, EOL and Loop are not the same product. EOL is a web-based product (a website), and Loop is an App that you download on the App/Google store. Loop also has extra communications functionality.

​Can I still access EOL?

The software provider are planning to retire EOL and the Me App by 1st September 2025.

Therefore, to access personal rosters, view bank shifts, request shifts and annual leave etc staff will need to use the new Loop App.

​Do I have to use an NHS Email address?

We need an email address to set Loop up but this can be either your NHS email or your personal email address.

If you have been implemented on eRostering and have an EOL account, the eRostering system will already hold an email address for you and will use this email to communicate to you when Loop is live within your service.

Can I use my personal mobile device to download the Loop app?

Yes, you will be able to download the Loop app on both personal and/or work mobile devices. 

It is each staff members responsibility to ensure the security of your personal and/or work mobile phone device and our NHS Lothian System Security team would advise the following:

•            Use 8 digit pin code, strong password protection and use multifactor authentication (e.g. MS App, Google, Duo)

•            Don’t jailbreak your phone (iOS) – this voids your device’s warranty and bypasses built in security features

•            Ensure you download Loop via the official app store and not a 3rd party site

•            Keep devices up to date – software security updates

•            Physical security – have phone/screen lock on, when out and about don’t leave phone unattended

•            Keeping your device secure ensures your personal information and privacy are protected

•            Any issues with the app, please contact the eRostering team: Loth.eRostering@nhs.scot

•            Any issues specifically with your work mobile device (e.g. data loss, theft, lost) please Datix, contact Telecoms and Information Governance

What do I do if I need a password reset?

Can I request annual leave through Loop?

Substantive staff: the system will work the same as the current Employee Online (EOL) functionality for annual leave. Staff will be able to view their annual leave entitlement and make annual leave requests via Loop. 

Bank Staff: the software supplier is currently working on functionality to allow bank workers to view the annual leave they have accrued per quarter and be able to request claims via Loop. This is not yet available; however, communication will be distributed when this is available and further information provided.

Can I communicate with others within the organisation?

Yes, the Loop app will allow you to send direct messages with others within the organisation and also create subgroups. With the roll out of loop, we want to remind staff of the expected standards of behaviour which apply in the workplace. 

The content of communications in messaging will be moderated and it can be accessed. 

Any misuse of the Loop app will be dealt with under the appropriate HR Policy.

A link to NHS Lothian’s Social Media policy is also included and all staff are reminded to familiarise themselves with this prior to using the Loop app:  Social Media Policy (please note that this is an Intranet link and will only work while logged in the the NHS Lothian network).

Can Loop be used to share information about and/or discuss patients, is it encrypted?

Loop is encrypted, however staff must not use Loop to discuss or post any images containing any sensitive information including patient information, or their families and staff confidential information.

The Loop app will be regularly monitored and moderated.

What should staff do with the Loop App if they move posts within NHS Scotland?

If you’re moving within NHS Scotland, you can remove the Loop App from your personal mobile phone and/or NHS devices, then reinstate it when you move into your new role if your team within your new health board area have implemented eRostering.
Please do not delete your Loop Account. if you are planning to move posts within NHS Scotland or planning on returning to NHS Scotland soon.
If you delete your Loop Account, it will not be possible to create a new Loop user account using the same email address.
